2. Parties and Scope of Service

We shall extend our Services exclusively to individuals who have made specific, direct, and explicit service requests through our online platform (WEBSITE) or have initiated contact with us via email. Additionally, services may be solicited on behalf of an organization, provided that the individual initiating the service request possesses the requisite authority to represent and legally bind the said company.

The Terms may change without prior notice, but the Terms in place when you make or modify an order will apply to that specific order. Please note that simply viewing the website is governed by the Terms Of Website Use, not these Terms.

GOVISA.UK primarily assists you in obtaining visas and other travel-related documents. We provide guidance on the necessary documents and forms you need to complete, and then submit them, completed by you, to the relevant authorities. To clarify, if we provide services to you, you are our customer, and these Terms are applicable. If we direct you to another service provider, it's your responsibility to review their services, and their terms and conditions will govern those services. We are not responsible for third-party services, and these Terms do not apply to them.

In our order process, you have the opportunity to review and correct any errors before finalizing your order with us. Once you place an order, we'll send you an email to confirm that we've received it. If your order appears to be accurate, we will notify you that we have accepted your order and initiated the process. This confirmation email will be titled "Your Application was Successfully Submitted to the Embassy." Our contract with you will only be established when you receive this acceptance email.

These Terms apply to any offer, agreement, or service provided by or on behalf of GOVISA.UK, including but not limited to visa and passport processing or document-related services. Some Terms may mention an issuing authority, which refers to the organization, such as an embassy, consulate, or agency, responsible for providing the requested documents.

3. Fees and Payments

You can pay for our services using the options listed on our website (GOVISA.UK).

If your payment doesn't go through or if you haven't paid, your application will be marked as incomplete. Our team member will let you know if payment is still pending. We will only submit your application once we receive full payment.

Keep in mind that the requirements and fees for processing passports and visas can change, including embassy consular fees, application forms, and the documents needed for visas. These changes can happen without notice

4. Placing an Order

We aim to provide you with accurate information and ensure that you obtain your visa for your trip on the required date in a timely manner. However, please be aware that visa requirements, including documentation, fees, and processing times, can vary based on factors such as your current or previous nationality, residence, gender, age, profession, recent travel history, and religion.

While we make every effort to accurately describe our services on our website, we cannot guarantee that all statements and information are always the most current, complete, accurate, and error-free. Embassies and consulates may change their requirements and fees without prior notice, and these changes can take effect immediately. If any service description or information on our site becomes outdated or inaccurate, you agree not to hold VisaHQ.co.uk liable.

Requirements and fees for processing passports and visas can change without notice, and application forms and additional documents required for visa issuance may also change without notice.

The processing times for visas and passports provided by GOVISA.UK are approximate and reliable in most cases, but they are not guaranteed. GOVISA.UK will not be held responsible for any delays, cancellations, financial losses, or other losses resulting from visa processing denials or delays. GOVISA.UK reserves the right to decline processing documents for any reason, including incomplete documentation, insufficient processing time, or unusual circumstances.

By placing an order, you agree to these Terms. Once you place an order, a team member will be assigned, and the application submission process will begin. At this point, your team member will confirm the inclusion of a money order covering the entire order or the successful charging of your credit card through an authorization form.

We understand the importance of your passport's return date, and we will verify whether it is possible to process and obtain your visa within the expected timeframe to meet your expectations. If there is sufficient time to process the required visa, and we have received all necessary documents, your application will undergo a review for errors, corrections will be requested if needed, and once payments are confirmed, your application will be submitted.

5. Processing time

You can make your payment using any of the options displayed on our website. Payment is due at the time you place your order.

The processing times for visas and passports provided by GOVISA.UK are approximate and are based on standard processing times provided by Embassies, Consulates, High Commissions, and the Department of State (issuing authority) under normal circumstances. To calculate processing time, consider the next business day after submitting your documents to the Visa Centre, unless you choose "Same Day" or "Next Day" processing options, which should be clarified on the order form. For other processing options, processing time should be calculated starting the day after submitting the documents to the issuing authority.

Please note that the issuing authority may request additional information. The issuance of a visa is entirely at the discretion of the issuing authority, and their decision is final regarding entry into the country, even if all the required criteria are met by the applicant. GOVISA.UK cannot guarantee that the issuing authority will issue the visa within the specified timeframe.

GOVISA.UK will not be responsible for any delays, cancellations, financial losses, or other losses due to denial or delay in processing. No refunds, whether for service fees, embassy fees, courier fees, shipping charges, or any portion thereof, will be provided in the case of delays or denial of service.

6. Visa Delivery

When GOVISA.UK returns your passport and supporting original documents, it is important that you confirm that the visa(s) you requested has been issued, that the visa for the intended country you are visiting is valid for the dates of arrival and departure from the country you are visiting, and that the purpose and nature of visit are as intended. In the event you detect any mistake or discrepancy you must contact GOVISA.UK (PHONE).

GOVISA.UK utilizes Royal Mail for all shipping unless you instruct otherwise. We use standard envelopes and packing materials provided by Royal Mail or another designated shipping company as per your instructions. On occasion, documents may be damaged or lost during transit. Please note that GOVISA.UK is not responsible for any damage or loss that occurs while the product is in your possession or during transit.

We strongly recommend that our clients opt for shipping services that offer real-time package tracking. However, GOVISA.UK cannot be held responsible for any failures or errors on the part of shipping companies, including issues related to delivery, timeliness, tracking, location, or the safekeeping of packages. We cannot provide any warranties or guarantees regarding claims made by shipping companies regarding service quality, timely delivery, service availability, or other related claims.

7. Cancellation Rights and Refund Policy

If you decide to cancel your visa application during the processing period, it is important to understand that GOVISA.UK will not be held responsible for this decision. In such a case, it is your responsibility to directly contact the relevant embassy or consulate to initiate the cancellation process. We will provide guidance and information on what steps to take, but we do not accept any liability for the cancellation process, and any associated consequences or fees incurred will be your sole responsibility.

To request a refund, you must provide a valid cover note explaining the reason for the refund request. Our Sales Manager will conduct a review of your request, and if it meets our cancellation requirements, we will initiate the refund process. Please note that the refund processing may take up to 48 hours from the time your request is approved and validated. In addition to the previous statement, it's important to clarify that GOVISA.UK will only issue a refund if you have not provided your biometrics at the relevant consulate or embassy. We cannot be held responsible for any refund processes initiated through the consulate or embassy, as our role is primarily to assist you in ensuring you have the correct documents and guide you through the appointment process. Once your biometrics have been submitted, GOVISA.UK will not be accountable for any further developments or personal circumstances that may arise. Please also consider that the processing time for cancellations by the consulate or relevant embassy may vary, and it is your responsibility to take into account the time frames they require for such processes.

9. Communications
